The AI Workflow Audit · Austin, Texas

The AI workflow audit: one week to find what is costing you the most.

I look at how leads, follow-up, records, content and numbers actually move through your company. You get a ranked, priced list of fixes, with the math shown so you can check it.

Price and terms

Fixed price. No surprises.

  • Fixed price, one week, paid in full before work starts.
  • Payment is by invoice after our call, in full before work starts.
  • What you paid is credited toward a pilot or build you sign within 30 days of the wrap-up call.
  • You keep the report whether or not we work together after.

How it works

Four steps, one week.

  1. Short pre-form

Optional. Your tools, your team and where you think the time goes.

  2. Working session

I sit with the workflow that eats the most time and walk it with the people who run it.

  3. The report

Every workflow scored by monthly impact, with the math and assumptions shown.

  4. Wrap-up call

We go through the ranking, the fix you can use right away, and what to build next.

What it looks at

Lead capture and speed to lead

How fast a new inquiry gets a real answer, and how many never do.

Follow-up

The quotes, callbacks and next steps that live in someone's head.

Knowledge and records

Files, notes and answers your team hunts for every week.

Marketing and content

What goes out, how often, and what it costs in hours.

Numbers

Whether anyone sees leads, jobs and pipeline on one page each week.

Compliance and AI guardrails

Forms, disclosures, and the AI tools people already use with no rules.

What you get

A report you can act on the same day.

The sample report shows the exact format, built for a fictional company with made-up figures by the same report tool used in real audits.

  • A one-page summary: the estimated monthly leak and the top three fixes.
  • Every workflow scored by monthly impact, with the math and every assumption labeled so you can correct it.
  • Workflows ranked by impact and by how directly the fix can be built.
  • For each top item: what happens today, where it leaks, the proposed fix, an effort range and a price.
  • One fix you can use right away, and a ranked 30-day plan.
  • Anything outside what I build is named and pointed to a specialist.

What I need from you

A sponsor, a few hours, and honest answers.

  • A sponsor, usually the owner or COO, at kickoff and on the wrap-up call.
  • An hour or two with the people who run the workflow that eats the most time.
  • Read access, or a screen share, for the tools involved. Nothing gets changed during the audit.
  • Someone who can tell me what is off limits.

Is it a fit

Built for owners who want a clear answer, not a project.

A good fit

  • The owner or an ops lead is the buyer, not a committee.
  • The bottleneck is how work moves, not a lack of demand.
  • You want results you can measure, not a tech experiment.

Not a fit

  • Pre-revenue or idea-stage businesses.
  • A loose retainer with no clear deliverable.
  • Shopping on price alone.

Questions

What owners ask before they book.

We already use some AI tools and automation. Is this still useful?

Yes. The audit looks at the whole operation, not just the gaps. It shows where what you already pay for is underused or set up wrong, and where the next fix sits.

Am I locked into a build after the audit?

No. The audit stands on its own. You own the report and the ranked plan, and you can take it to anyone, including your own team. If you do build with me within 30 days of the wrap-up call, what you paid for the audit is credited.

How much of my time does it take?

A sponsor at kickoff and on the wrap-up call, plus an hour or two with the people who run the workflow that eats the most time. You can hand most of that to your ops lead. The rest of the week is on my side.

Will you change anything in our systems during the audit?

No. I work from read access or a screen share. Nothing gets changed during the audit.

What if AI is not the answer?

Then the report says so. Often a better form, a simple automation or a clear owner fixes the leak, and that is what gets recommended.

Who actually does the work?

I do. The person who walks your operation is the person who writes your report and the person you call with questions.

After the audit

The audit ends in a plan and a price. No obligation.

Every top item in the report comes with a scope and a price. The usual next step is a two-week pilot on the highest-value fix. What you paid is credited toward a pilot or build you sign within 30 days of the wrap-up call.
